For properties without a PMS

Small hotel management software: calendar, bookings and tasks in one place

Most small hotels, guesthouses and apartments never buy a PMS — they run on a spreadsheet, the Booking extranet and someone's personal phone. Greetio is the first system that fits them: rooms, rates and availability in one place, AI answering guests on WhatsApp, Instagram, Telegram, Viber and website chat from your own data, preparing bookings and turning guest requests into staff tasks.

  • Works with no PMS
  • Launch without an IT project
  • Multilingual out of the box

What running a property without a system looks like

Not because anyone is doing it wrong. A spreadsheet and five messaging apps simply stop holding a property together once enquiries pick up.

Only one person knows what's free

The availability file lives on the owner's phone. Front desk can't answer "is the 14th open?" without calling — and in the evening or at weekends nobody answers at all.

Guests wait until morning

Messages are scattered across Instagram, WhatsApp, Viber and email. An evening enquiry sits until morning, by which time the guest has booked somewhere else.

The same date sold twice

A booking taken in a messenger reaches the spreadsheet after someone else was already written in for those nights. What follows is an awkward call and a relocation at your cost.

Guest requests vanish into the chat

"We need an iron", "the water isn't hot", "we'll arrive at 11pm" stay in the conversation. Nobody is assigned, nobody checks, and it surfaces in the review.

How Greetio works in a property with no PMS

No data migration, no long implementation: load your rooms and rates, and the system starts answering guests.

  1. 1

    Collect your property data

Rooms, rates, services, house rules and common questions are imported from your website, your Booking.com page or files — or filled in together with our team.

  2. 2

Availability lives in the built-in calendar

Dates sit in Greetio's own calendar instead of a spreadsheet on one phone. Bookings can be entered by hand, and the whole team sees the same picture.

  3. 3

AI answers guests from your data

Questions about prices, dates, rules and services are handled in the channel the guest used. Money and risky topics go to a human, with a draft reply ready.

  4. 4

    Requests become tasks

A guest request turns into a task for reception, housekeeping or maintenance. Staff receive it in Telegram, and statuses are visible on a board.

What a small property actually needs

Not everything under the sun — the minimum without which a 5-to-50-room property loses money and patience every day.

Built-in availability calendar

Your own calendar of free dates inside Greetio, for properties with no PMS and no plans for one. Bookings are entered manually and everyone sees the same view.

Rooms, rates, services, rules

Structured property data instead of knowledge in one person's head: room types, seasonal prices, services, check-in, check-out and cancellation rules.

One inbox for every channel

WhatsApp, Instagram, Facebook, Telegram, Viber and website chat in a single window. Guest history, notes and attachments survive the shift handover.

Bookings prepared in the chat

The AI confirms dates and guest count, checks the calendar, collects contact details and prepares the booking. A human confirms it before the guest pays anything.

Staff tasks in Telegram

Housekeeping, maintenance and reception get their tasks in Telegram — no new apps, no training. Checklists, statuses and event history on a kanban board.

Analytics you never had

How many enquiries, from which channels, how fast you reply, which questions repeat and how many of them turned into a booking.

One system across property types

The same calendar, inbox and task layer covers a small hotel, a hostel selling beds, a guest house or a set of apartments — each with its own rules rather than one generic template.

A spreadsheet and five messengers versus one system

Compared with how a small property runs today — not with a PMS costing several thousand euros.

Scenario: Friday evening at a 12-unit apartment property

The manager's shift is over and the owner is driving. A guest writes on WhatsApp.

Good evening! Do you have anything free for two on 14-16 August? And can we bring a small dog?
Good evening! For 14-16 August we have two options: a studio at €62 per night and an apartment with a kitchen at €80 per night. Dogs up to 10 kg are welcome, with a one-off €12 fee.
We'll take the studio. We'll be arriving late, around 11pm.
Noted: studio, 14-16 August, late arrival around 11pm. Could you share your name and phone number so a manager can confirm the booking?
  • Dates and prices came from the built-in calendar, not from memory
  • The tentative booking waits for a manager to confirm in the morning
  • The late arrival became a task for whoever meets the guest

Illustrative conversation. The AI only offers rooms, prices and dates that exist in your data, and a human confirms every booking.

Why this isn't just another chatbot

A property with no system doesn't need a bot that writes nicely. It needs free dates in one place, evening enquiries that don't get lost, and guest requests somebody actually completes. Greetio covers exactly that — and is upfront about what it does not do.

  • Works with no PMS — a built-in calendar instead of an integration
  • Telegram is enough for staff — no new apps to install
  • It is not accounting and not a channel manager, and we say so plainly
We kept dates in a spreadsheet and conversations in three messaging apps on a personal phone. Now the free dates are in one calendar, guests get an answer straight away, and whoever meets them knows about the late arrival.

Small hotel management software: common questions

No. A PMS runs the property's finances: the guest folio, cash operations, fiscal reporting and the night audit. Greetio does none of that. It covers guest communication, availability in a built-in calendar, booking preparation and staff tasks. For a property with no system at all, that is usually enough to stop losing enquiries.

No. Greetio's built-in calendar works on its own: you enter free dates and bookings by hand, and the AI answers guests from that data. A PMS is only needed if you already use one and want availability to sync automatically.

Then we connect it in place of the built-in calendar — we have ready integrations with Servio, OtelMS and Fidelio. Your knowledge base, guest history and settings stay where they are; nothing has to be migrated.

No. Pushing rates and inventory to OTAs is what a channel manager does, and we don't replace one. We can import information from your Booking.com page during setup so you don't retype room descriptions. Channel manager scenarios are on our public roadmap.

Apartments, guesthouses and hotels of roughly 5 to 50 rooms, where nobody is dedicated to reservations and evening enquiries land on the owner's phone. Larger hotels and groups have separate plans.

The basics can realistically go live in a day: connect the channels, import rooms and rates, set up the calendar. What usually takes longer is not the technology but agreeing the rules — what the AI answers itself and what it passes to a human.

The Start plan is €149 per month and the built-in availability calendar is included in it. PMS integrations are only needed by properties that already run a PMS, and they come with Pro. Booking AI is a separate module you switch on when ready. Full plan contents are on the pricing page.

Yes — the operation differs enough to be worth separating. Hostels sell beds rather than rooms and take most of their same-night demand after midnight; guest houses and B&Bs are usually run by one or two people with no reception desk at all. Both have their own page, and both run on the same built-in calendar described here.
