Channel manager

Channel manager for hotels: answering from the calendar you actually keep

Plenty of properties have no PMS at all — the real calendar lives in a channel manager that pushes rates and inventory to the OTAs. Greetio already answers guests from a connected PMS or from its own built-in calendar; reading availability directly from a channel manager is the third path, and it is in controlled rollout rather than general release. If that describes you, join early access: today you can run on the built-in calendar and switch the source later without touching a single conversation.

The gap between the channel manager and the guest

The tool distributes your rooms brilliantly and answers no one.

It sells the room and cannot answer a question

A channel manager exists to push availability outward. It has no opinion about the guest asking whether the pool is heated.

Two truths about what is free

Whoever answers messages keeps a mental copy of the calendar. It drifts from the channel manager by exactly one booking, and that one booking is the double booking.

No PMS means no obvious data source

Most AI tools assume a PMS. Properties running only a channel manager get told to buy a system they do not need.

The direct booking is the expensive one to lose

The guest who wrote to you directly costs no commission — and is the one most likely to leave without an answer.

How this fits together

Three possible sources of truth, one conversation layer.

  1. 1

    Today, option one: connected PMS

Servio, Exely, OtelMS or Fidelio — availability, rates and rooms read straight from the system you already run.

  2. 2

Today, option two: the built-in calendar

No PMS and no channel manager connection needed: keep availability in Greetio and the AI answers from it. This is how most small properties start.

  3. 3

In rollout, option three: your channel manager

Reading availability directly from the channel manager, so the answer matches what the OTAs are being told without anyone maintaining a second calendar.

  4. 4

    The conversation layer never changes

Whichever source you use, the AI, the knowledge base, the booking flow, the tasks and the analytics are the same. Switching sources does not mean rebuilding anything.

What this does and does not mean

Worth being blunt, because this is exactly where products oversell.

Reading availability — the goal

Knowing what is free so the AI can answer and prepare a booking without a second calendar.

Not distributing rates

Greetio does not and will not push rates or inventory to OTAs. Your channel manager keeps that job — we are the conversation, not the distribution.

Controlled rollout, by design

Channel managers differ enormously in what they expose. This is introduced property by property after checking the specific setup, not switched on globally.

The built-in calendar works today

You do not have to wait: run on Greetio's own calendar now and move the source later. Guest-facing behaviour is identical.

One booking flow either way

Dates checked, occupancy collected, reservation prepared for a manager to confirm, deposit link sent.

Same analytics either way

Response time, automation rate and attributed bookings do not depend on where availability is read from.

Three ways to answer "is it free"

Same conversation, three sources of truth.

Scenario: an apartment property with no PMS

Eleven units, a channel manager and a very busy owner.

Hi, is the two-bedroom free 3-6 October?
Hello! Yes — the two-bedroom is free for 3–6 October, €140 per night, three nights €420. Check-in from 15:00, self check-in with a code.
Let's take it. Do you need a deposit?
Yes — 30%, so €126 to confirm. Here's the payment link; once it clears you'll get the address, the door code and the parking details.
  • The dates were checked against one calendar rather than someone's memory
  • The whole exchange finished with a paid deposit and no commission
  • Nothing about it depends on which source holds availability — only the answer's origin changes

Illustrative conversation. Today this runs on the built-in calendar or a connected PMS; reading availability from a channel manager is in controlled rollout.

Why we would rather roll this out slowly

An availability source that is wrong is worse than no source: it produces confident answers about rooms that are already sold. Channel managers vary enormously in what they expose and how quickly they update, so we introduce this per property after checking the specific setup instead of announcing blanket support. In the meantime the built-in calendar gives the same guest-facing result with none of that risk.

  • Live today: connected PMS or Greetio's built-in calendar
  • In controlled rollout: reading availability from your channel manager
  • Never: distributing rates and inventory to OTAs
We have no PMS and never will. We needed something that answers, not another system to maintain.

Channel manager scenarios: what people ask

Not as a general release. It is in controlled rollout, introduced per property after we check what your specific tool exposes. Today you can run on a connected PMS or on Greetio's built-in calendar and get the same guest experience.

No, and this is not a limitation we plan to remove. Distribution belongs to your channel manager. Greetio owns the conversation, the direct booking and the operational tasks that follow.

Yes — that is one of the most common setups. Availability goes in the built-in calendar, and the AI answers, prepares bookings and takes deposits from it.

No. The source of availability is separate from everything else: the knowledge base, the AI, the booking flow, the tasks and the analytics stay exactly as they are.

Because a stale or partial availability feed produces confident wrong answers, which is the one failure mode we design hardest against. Rolling out per property lets us verify the feed before guests rely on it.

We will name tools as they are verified rather than publishing a list in advance. If you tell us what you run, we can say where it sits in the queue.

Leave a request on this page and mention your channel manager. Early-access properties get it first and help us verify the feed.
