AI in hospitality
AI for hotels: from the first guest message to a paid booking
AI for hotels is software that answers guest messages from your own property data — rooms, rates, house rules, calendar — instead of from the open internet. Greetio does that across WhatsApp, Instagram, Facebook, Telegram, Viber and website chat, then carries the conversation further: it checks the dates, prepares the reservation, sends a pay link and opens a task for the right department. It differs from a generic chatbot in one measurable way: when a price or a room cannot be verified in your data, it stays silent and hands the guest to a person.

- Holds back unverified answers
Why most hotel AI projects disappoint
Not because the models are weak. Because a hotel answer has to be true about one specific property on one specific night.
It answers beautifully and wrongly
A general model will happily quote a rate it has never seen and confirm a room that is sold out. In a hotel that is not a bad sentence — it is a guest arriving to a property that has nothing free.
It answers, and then nothing happens
The guest gets a polite reply about the sauna and still has to write again to book it. Answering is the cheap half; preparing the reservation, taking the deposit and opening a task is the half that changes revenue.
It does not know what changed this morning
Rates move, a cabin goes out of service, a promotion ends. AI trained on a website snapshot from three months ago repeats last season's price with full confidence.
Nobody can say what it actually did
Without a record of which conversation produced which booking, the AI is an expense with a nice demo. The question a general manager asks is not "is it smart" but "what did it bring in".
How AI works inside a hotel, step by step
Four steps, each with a place where a human can take over.
- 1
It reads your property, not the internet
Rooms, rates, weekday and weekend ranges, services, house rules, cancellation and prepayment policy, promotions. Imported from your site, files and PMS — and re-read as they change, not memorised once.
- 2
It checks before it promises
Dates are resolved from how guests actually write them ("the weekend", "from the 12th for two nights", a bare weekday name), then checked against the calendar or the PMS. If those dates are taken, the AI offers the nearest free ones instead of taking the booking.
- 3
It carries the booking to money
It collects occupancy and contacts, prepares a tentative reservation, and sends a pay link calculated from your prepayment rule. After the payment clears, the guest gets your confirmation text automatically.
- 4
It starts the work, then reports
A request for late check-out or extra towels becomes a task for the right department. Every conversation is scored 1 to 100 for satisfaction, and bookings are attributed back to the chat that produced them.
What the AI can do — and where each limit sits
Every item below is a capability that exists in the product today, with the boundary stated in the same sentence.
Answers grounded in hotel data
Rates, availability, services, policies and active promotions come from your records. The AI does not paraphrase a competitor's site or a review it once read.
Confidence gates that hold answers back
A price gate and a room gate check every number and room name against your data before the message goes out. Unverified — the reply does not send, the conversation escalates.
Assisted booking, not silent confirmation
The AI prepares a tentative reservation with dates, occupancy and contacts. A manager confirms it. Nothing becomes a guaranteed booking behind your back.
Payment links and deposits
The amount follows your prepayment rule — a percentage, a fixed deposit or the full stay — and the tourist tax is added where you switch it on. The card is charged on your provider's page, never by the bot.
13+ guest languages, one knowledge base
The guest writes in their language, the AI reads your knowledge base in yours. Date words, weekday names and "this evening" are resolved per language rather than by one hard-coded word list.
Escalation you can define
Money disputes, complaints, a direct request for a human and any protected topic go to a person by rule, not by the model's mood.
A general AI assistant versus AI built for a hotel
The difference is not fluency. It is what happens when the answer cannot be verified.
| General AI chatbot | Greetio | |
|---|---|---|
| Where the price comes from | From whatever the model absorbed — often a stale page or a competitor | From your rate table, with weekday and weekend ranges per property |
| A sold-out date | Confirms it and moves on | Refuses, then offers the nearest free dates or another room |
| When it is unsure | Produces a plausible sentence | Withholds the answer and escalates to a manager |
| After the answer | Conversation ends; the guest writes again to book | Reservation prepared, pay link sent, task opened, payment confirmed |
| What management sees | A chat log | Automation rate, response time, satisfaction score and which chat produced which paid booking |
Scenario: a Tuesday-night enquiry at a 24-room property
Reception has gone home. The guest writes on Instagram at 22:40.
- The two prices came from the property's weekday and weekend ranges, not from an average
- The late check-in became a task for reception before the guest arrived
- The deposit was calculated from the property's own prepayment rule
Illustrative conversation. The AI only quotes rooms, prices and dates that exist in your data; anything it cannot verify goes to a manager instead of being answered.

The honest version of what AI changes
AI does not replace a front office. It removes the part of the job that is repetitive and time-critical: the same twelve questions about rates, availability, parking, breakfast and pets, asked at hours when nobody is at the desk. What it protects is the hour after a guest's message — the window in which they are still deciding between you and the property that replied first.
- Answers grounded in your data, with gates that hold back what cannot be verified
- A booking is prepared by AI and confirmed by a person — never the other way round
- Every conversation is measurable: automation, response time, satisfaction, attributed revenue
The evening messages used to wait until morning. Now they get an answer with the right price, and by the time we open, the deposit is already in.
AI for hotels: the questions owners actually ask
It answers guest messages from your property's own data across every channel the guest might use, checks dates against your calendar or PMS, prepares a reservation, sends a payment link, turns requests into department tasks, and reports which conversation produced which booking.
It is built specifically not to. A price gate and a room gate check every figure and room name against your data before a message is sent; if either fails, the reply is held back and the conversation goes to a manager. A date that is already taken is refused rather than booked.
No. If you run Servio, Exely, OtelMS or Fidelio, Greetio reads availability and rates from it. If you have no PMS, you keep availability in the built-in calendar, and the AI answers from that.
No. It prepares a tentative reservation with dates, occupancy and contacts, and a manager confirms it. That boundary is deliberate: an AI-confirmed booking that turns out to be wrong costs more than the reply it saved.
More than 13. The guest writes in their own language and the AI answers in it, reading a single knowledge base kept in yours — you do not maintain a separate one per language.
A website widget answers on one channel from a script. This is one inbox across WhatsApp, Instagram, Facebook, Telegram, Viber and web chat, answering from live property data and carrying the conversation through to a prepared booking and a paid deposit.
Greetio records which conversation produced which paid booking, alongside automation rate, first response time, time saved and a 1-to-100 satisfaction score per conversation. Results depend on your message volume, data quality and how much you let the autopilot send.
