For owner-run properties

Guest house and B&B software for properties run by two people

Guest house and B&B software for the 4-to-20-key reality: no front desk, no night shift, and the owner's personal phone doing the job of a reservations department. Greetio takes those messages off the phone into one inbox for WhatsApp, Instagram, Facebook, Telegram, Viber and website chat, answers them from your own rates, breakfast times and house rules, prepares the booking and sends the deposit link. It is not a PMS and it does not replace Booking.com — it is what answers while you are cooking breakfast or driving to the market.

The problems of a property with no reception desk

Not because anyone is doing it wrong — a personal phone simply cannot be a reservations department.

The same eight questions, forever

Breakfast times, parking, pets, check-in hour, is the pool heated, do you have a cot. Each answer takes two minutes; forty of them take a working morning.

You are answering from a car, a kitchen or a bed

Enquiries do not arrive during office hours because the property has no office hours. The ones that arrive while your hands are full are the ones that go to a competitor.

Only one person knows what is free

The calendar is a file on one phone or in one head. A second person cannot answer confidently, so every date question funnels back to the owner.

Direct bookings leak to the OTA

A guest who does not get a fast, clear answer with a price simply books through the platform that shows one — and takes the commission with them.

How it works in a guest house

No migration, no IT project: load what you already know by heart.

  1. 1

Put the property into the system once

Rooms and rates by season, weekday and weekend prices, breakfast hours and what is included, check-in and check-out, pets, children and cots, parking, the pool, the sauna, cancellation and prepayment rules.

  2. 2

    Availability lives in one calendar

The built-in calendar replaces the file on one phone. Everyone who helps you sees the same free dates — and so does the AI when it answers.

  3. 3

The AI answers and prepares the booking

It quotes the right price for the right nights, collects dates, guest count and contacts, and prepares a tentative reservation for you to confirm. Nothing is guaranteed to the guest without you.

  4. 4

    The deposit closes it

A pay link built from your prepayment rule goes out in the same conversation, and the guest gets your confirmation text the moment it clears.

What a small property actually uses

Six things, all of which pay for themselves in a season.

Built-in availability calendar

Free dates in one place, shared by everyone who answers guests. No PMS required — and if you later buy one, availability moves to it.

Answers from your own rules

Breakfast at 08:00–10:30, dogs up to 10 kg, check-in from 14:00, cot on request. Written once, answered identically every time, in the guest's language.

Seasonal and weekend pricing

Weekday and weekend ranges are held per property, so a Friday and a Tuesday do not get the same number.

Prepared bookings, confirmed by you

The AI does the collecting; you press confirm. For a property where every booking matters, that boundary is the point.

Deposits without card details in chat

The guest pays on your provider's page through a link. Nobody types a card number into a messenger.

Requests become tasks

Late arrival, an extra bed, an early breakfast — assigned, with a status, so the person on duty tomorrow does not depend on remembering.

A personal phone versus one inbox

Compared with how a guest house works today, not with a hotel PMS costing thousands.

Scenario: Saturday morning at a 9-room guest house

The owner is serving breakfast. A message arrives on Instagram.

Hello! Do you have a room for two adults and a child from 12 to 14 September? And is breakfast included?
Good morning! Yes — a Family room is free for 12–14 September: €95 per night, breakfast for three included, served 08:00–10:30. A cot is available free of charge.
Great. Can we arrive around 21:00?
Yes, late arrival is fine — I've noted 21:00 for the host. To hold the room we take €95 as a deposit; here's the link. Once it goes through, you'll get the confirmation and directions.
  • The price and the free dates came from the shared calendar, not from memory
  • Breakfast hours and the cot policy came from the property's own rules
  • The 21:00 arrival became a note for the host instead of a forgotten promise

Illustrative conversation. The AI only offers rooms, prices and dates that exist in your data; anything it cannot verify goes to you.

What actually changes for an owner

The point is not that a machine writes nicer sentences. The point is that the eight repeated questions stop landing on a personal phone, that a second person can answer a date question without calling you, and that a guest who writes at 22:00 gets a price at 22:00 instead of at breakfast. Small properties lose direct bookings in exactly that gap.

  • Works with no PMS — the built-in calendar is enough to start
  • Every price and date comes from your data, never from a guess
  • You confirm the booking; the AI only prepares it
I used to answer the same questions between courses. Now the phone is quiet and the deposits are already paid when I sit down.

Guest house and B&B software: common questions

No. Most properties of this size never buy one. You keep availability in the built-in calendar and the AI answers from it. If you already run Servio, Exely, OtelMS or Fidelio, we read availability from there instead.

No. Pushing rates and inventory to OTAs is a channel manager's job and is not part of Greetio. What we do is answer the guest who found you and turn that conversation into a direct booking.

Yes. Weekday and weekend ranges are held per property, and seasonal rates come from your rate table, so a Friday night and a Tuesday night are quoted differently — automatically.

You do. The AI collects dates, guest count and contacts and prepares a tentative reservation; it becomes a real booking when a person confirms it. Deposits can be taken before that, to hold the dates.

No. Guests are answered in more than 13 languages from one knowledge base that you maintain in your own.

It does not invent one. The conversation is escalated to you with the full history, and the missing question is recorded so you can add it to the knowledge base once and never answer it manually again.

There is no data migration: you load rooms, rates and rules, connect the channels you already use and the inbox starts working. Self-onboarding is available on every plan; guided setup is optional.
